Legal Administration Manager

The Legal Administration Manager is responsible for the oversight of quality legal services delivered to clients by the specialized legal administrative staff assigned to attorneys/legal personnel pertaining to a specific practice area. Ensures professionalism by all legal administrative staff in internal and external interactions with clients, co-workers, and third-party affiliates. Maintains strict confidentiality in all client and Firm matters.

Job Summary:

  • Demonstrates strong management and teaching skills in the supervision of a Legal Administrative Assistants group (15+ assistants).
  • Manages time off coverage, attorney and Legal Administrative pairings, and coordinates training of new legal administrative assistants. Coordinates workflow between the office services group and the legal administrative group.
  • Assists in creating, recommending, and monitoring annual budget and expenses including compensation for legal administrative group.
  • Oversees the creation, preparation, and organization of documents and forms requisite to a practice area. Examples include estate planning documents, briefs, subpoenas, notices, motions, interrogatories, agreements, settlements, etc.
  • Oversees the maintenance of calendars of assigned attorneys and legal administrative assistants.
  • Ensures that current desk instructions for each assigned attorney/legal personnel are available for covering assistant during absences.
  • Stays current in understanding and communication of Firm operating procedures, departments, and support areas, including Trust Department procedures and Addvantage software.
  • Responsible for oversight of billing, processed by the Accounting Department, to ensure processing is done in a timely manner.

Position Requirements:

  • Ten years of progressively responsible work experience in assisting with management of operations and staff in a law office or other professional service organization.
  • Proficient in MS Office Suite, Adobe Acrobat, Visio, and Workshare.
  • Strong team leader and coach who works collaboratively and cooperatively with others in a team-oriented environment. Volunteers to assist with overflow assignments.
  • Excellent organizational skills including record keeping, data collection and system information. Ability to compile and analyze data and furnish information in report format, written correspondence, email or verbally.
  • Exhibits high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment while utilizing excellent judgment, administrative abilities, and decision-making skills. Ability to work with frequent interruptions and adapt to changes in workflow.
  • Excellent interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy and maintain effective relationships with a diverse group of attorneys, clients, staff, and outside contacts.
  • Notary public certification is preferred.
  • Knowledge of the following practice areas preferred: Litigation, Trust and Estates, Real Estate and Corporate.
